Keep your record consistent

Check qualification names, institutions, completion status and employment dates against your documents. If a course is incomplete, say so. Distinguish an attendance certificate from a completed qualification and do not assume that similar course names mean the same credential.

South African qualifications can be checked through SAQA’s verification services, subject to the relevant process. A foreign qualification evaluation is a different process from verifying a South African qualification. Use the official service information to understand what applies, rather than relying on a recruiter’s informal description or an unverified intermediary.

Ask referees before sharing their details

Choose people who can speak about relevant work and your contribution. Ask whether they are willing to act as a referee and confirm their preferred contact information. Tell them which kind of role you are pursuing so that they understand the context of a possible conversation.

Do not write a reference on someone else’s behalf or coach them to provide an inaccurate account. If contacting your current employer would reveal a confidential search, raise that concern with the recruiter before any contact is made. Discuss an appropriate sequence instead of assuming everyone understands your situation.

Clarify requests and deal with discrepancies early

When documents are requested, ask what is needed, why it is needed, who will receive it and how it should be sent. Verify the recipient independently if anything is unexpected. Avoid sharing a full set of identity and financial documents when a narrower request would meet the stated purpose.

If you discover an error in your CV, correct it promptly and explain the change. A mismatch does not become easier to address by waiting. Keep copies of what you submitted and note any correction so that the recruiter and employer are working from the same information.

PUT IT INTO PRACTICE

A useful referee request

“I am applying for a finance administration role and would like to ask whether you are comfortable acting as a referee for the work we did together. The recruiter may ask about invoice processing, accuracy and team communication. Please let me know which contact details you would prefer me to share.”

Your practical checklist

  • Check qualification status and employment dates.
  • Ask referees for permission and current contact details.
  • Discuss confidentiality before a current employer is contacted.
  • Verify document requests and correct errors early.

Take it forward

Accuracy and clear communication are the best preparation. Keep the process proportionate, use official verification information and know where your personal documents are going.
