Answer the employer’s immediate questions

Start by naming the role and, where available, its reference number. Explain briefly what drew you to the work itself. A statement about enjoying problem-solving becomes more convincing when you connect it to the responsibilities in the advert.

Choose one or two relevant examples rather than summarising every position you have held. If the job needs organised customer follow-up, describe work involving query tracking, communication and closure. Give the reader a reason to open your CV with a specific question already in mind: could this experience help our team?

Use the letter to explain context

A career move, relocation or return to work may need a sentence of explanation. Keep it practical and forward-looking. You can state that you are moving from operations into project coordination and connect your scheduling experience to the new role. There is no need to disclose private circumstances that do not help assess your suitability.

If the advert requests particular information, address it clearly. Where you are unsure about an important requirement, ask a concise question rather than pretending it is resolved. Follow the requested application process even when you also have a direct email address.

Keep the format simple and the voice yours

Use short paragraphs, ordinary language and a professional greeting. If you do not know the hiring manager’s name, address the hiring team. Remove generic praise that could describe any company. A useful test is whether replacing the company name would leave the letter unchanged.

Before sending, check that the role, company and reference are correct. If you used a writing tool to help, verify every sentence and remove claims it invented. You should be comfortable explaining all examples in your own words during a conversation.

An opening you can adapt

“I am applying for the project coordinator role, reference [reference]. In my current support position, I track outstanding actions across several teams and prepare weekly progress summaries. I would like to bring that coordination experience to the implementation work described in your advert.” Replace the details with your actual experience; do not use the example as a claim.
