Separate requirements from preferences
Read the advert once for the overall job and again for its specific requirements. Make a simple three-column note: requirement, your evidence and any gap. Pay attention to the actual work, not only the job title. Two business analyst vacancies may involve very different combinations of process mapping, data work and stakeholder engagement.
Identify requirements you genuinely cannot meet, such as an essential licence or a work arrangement that is impractical. If the advert is ambiguous, ask a focused question through the stated contact channel. Do not hide a material mismatch in the hope that it will disappear later.
Move stronger evidence forward
Adjust the summary to reflect the relevant role family. Within each job, put the most useful examples first. You can shorten unrelated detail while retaining accurate employer names, dates and titles. Where your official title is unusual, add a brief explanation of your actual function instead of silently replacing it.
Use the employer’s terminology where it accurately describes your experience. If an advert mentions supplier reconciliation and that is work you performed, say so plainly. Repeating a phrase throughout the document adds little; a clear example is more valuable than a block of keywords.
Review the gaps before you apply
A gap does not always rule you out. Distinguish a tool you could learn from a professional requirement the role depends on. Explain transferable experience with concrete examples, and be honest about the support you would need. Avoid presenting adjacent experience as identical experience.
Compare your final CV with the advert and check that every added claim is defensible in an interview. Save the submitted version with the vacancy reference. If the recruiter later asks about a particular example, you will know exactly what they have read.
PUT IT INTO PRACTICE
The same experience, a different emphasis
A support coordinator applying for a service desk role might lead with ticket triage and user communication. Applying for a project support role, the same person might lead with task tracking and reporting. Both versions should keep the same employment history and describe only work the candidate actually performed.
Your practical checklist
- Highlight the five most important responsibilities.
- Match each to a genuine example or an honest gap.
- Reorder relevant evidence before adding more content.
- Save the advert and the version of your CV you submitted.
Take it forward
A tailored CV reduces the reader’s work. It makes your fit easier to see while leaving your underlying history intact.
